What changed
Notion now positions AI as an operating layer for team work rather than only a writing assistant. In Notion 3.6, teams can coordinate external agents, create interactive HTML blocks, use agents with PowerPoint, Excel, Word, and PDF files, and connect Outlook mail and calendars. AI Meeting Notes can identify speakers and, as of July 31, trigger a Custom Agent after a meeting summary is finished.
Where it works best
The clearest use case is a team that already treats Notion as its source of truth. A meeting can be transcribed, summarized, converted into decisions, and followed by an agent that updates a project tracker or prepares tickets. That continuity is harder to reproduce by copying content between a standalone chatbot and several work apps.
How we would evaluate it
- Ask questions whose answers exist across several workspace pages and verify every cited source.
- Run AI Meeting Notes on a real team call, then check speaker attribution, decisions, and assigned follow-ups.
- Give a Custom Agent a narrow recurring task and review its permissions and audit trail.
- Measure whether the workflow removes handoffs rather than simply generating more text.
Who should use Notion AI?
Choose it if your team already works in Notion and wants search, meeting intelligence, writing, and lightweight agents in one governed workspace. If your knowledge is scattered elsewhere or you only need occasional chat, a standalone assistant may be better value.
Bottom line
Notion AI has become a connected workspace automation product, not merely an add-on writer. It remains our preferred workspace AI for committed Notion teams, with the important caveat that useful automation requires clean data, sensible permissions, and human review.
