Turn every meeting into decisions and next steps

作者:

Useful meeting notes are not a transcript. They are a compact record of decisions, owners, deadlines, and unresolved questions.

1. Start with the agenda

Give the note-taking tool the agenda, participant names, project vocabulary, and expected decisions.

2. Capture with consent

Tell participants when recording or transcription is active. Avoid sending sensitive discussions to tools that are not approved for the data.

3. Use a fixed output format

Separate decisions, action items, risks, open questions, and supporting context. Every action needs an owner and date.

4. Review immediately

The meeting owner should correct names, commitments, and implied decisions while context is still fresh.

5. Distribute and track

Send the short decision record, then move action items into the team’s normal task system instead of leaving them inside the transcript.

The takeaway

AI saves time on capture and formatting; accountability still comes from clear owners and follow-through.
